Admins, owners, and accountants can create, edit and delete G/L accounts as used in the accounting system. Active G/L accounts can be assigned to transactions.
Important note: At Pliant we use the term subcategories instead of G/L account in some places because we think it's easier to understand for non-accountants. Additionally, we have categories to help structure the (potentially long) list of subcategories. Category and subcategory names are not relevant for accounting exports. Ultimately it's always the G/L account number that is exported to the accounting system.
Setup
G/L accounts can be managed within Settings > Accounting > G/L accounts.
Important note: To access the configuration page please make sure that G/L accounts are activated in Settings > Accounting. If you have enabled one of our accounting system integrations you cannot disable G/L accounts.
How to manage G/L accounts (subcategories)?
Subcategories and corresponding G/L account numbers can be created, deactivated or reactivated. You have the possibility to search the list of all G/L accounts or to filter by status (active, inactive, all) using a dropdown.
Creating G/L accounts (subcategories)
To create a new subcategory the following values are needed:
Subcategory name
βThe name of the subcategory can be freely chosen and will not be transferred to the accounting system.Account number
The actual G/L account number must be exactly the same as the number stored in the accounting system.Category
To structure G/L accounts for non-accountants you have to choose one of the available categories (e.g. Advertising & Marketing, Electronics & IT Equipment ...)
Click on the Add subcategory button to create a new subcategory. Then define the name, number and category. The newly created subcategory is immediately available in the Pliant app and can be assigned to transactions.
Deactivate, reactivate or delete G/L accounts
To deactivate subcategories that are no longer needed, select them in the list of all subcategories and click Deactivate in the Edit subcategory window. Then confirm the action in the subsequent pop-up window. This ensures that all transactions to which this subcategory was assigned will continue to be displayed correctly. However, it is no longer possible for users to assign transactions to this subcategory. Deactivated subcategories are hidden from the list of all subcategories, however, they still can be displayed using the corresponding filter option.
Deactivated subcategories can be reactivated at any time. To do this, filter using the option Inactive only and click on the deactivated subcategory. Confirm the action in the dialog box by clicking on Activate.
Deactivated subcategories can be deleted if they are no longer linked to any transaction.
