Setting up supplier creditor accounts

Admins, owners and accountants can add (manually or via a CSV upload), edit, deactivate or delete suppliers in the menu item Settings > Accounting > Suppliers. Active suppliers can be assigned to transactions using the accounting export flow. Once a supplier is assigned to a transaction, Pliant automatically assigns the same supplier to similar transactions (based on the merchant). If no supplier is assigned Pliant uses the default supplier account defined in the General accounts section under Settings > Accounting.

Important note: Supplier field and configuration is only available if you use the creditor-based booking logic. If it's not active for your account and you want to use it please feel free to contact our support team either by phone at +49 30 54453778-0, through the chat in our mobile or web app, or by submitting a ticket via our Support Form. Furthermore to access the configuration page please make sure that suppliers are activated on Settings > Accounting.

Uploading multiple suppliers via a CSV file

Suppliers and corresponding supplier account numbers can be added, deactivated or reactivated. At Pliant we provide a way to upload the complete list of suppliers via a CSV file by clicking Add Supplier > Upload CSV.

While uploading, we check for potential duplicates and make sure already existing suppliers are skipped. So the easiest way to set up suppliers is to keep them up to date in your accounting system and import them to Pliant:

  • at the beginning

  • in case of any changes.

Important note: On the CSV upload dialog you can find a sample CSV file available for download to make sure the file you would like to upload is in the correct format.

Creating suppliers manually

If you don't want to use the CSV upload you can always create a new supplier manually using the Pliant app. The following values are needed:

  • Supplier name
    ​
    The name of the supplier can be chosen freely and will not be transferred to the accounting system.

  • Supplier Account Number
    The actual supplier account number must be exactly the same as the number stored in the accounting system.

Click on the Add supplier button to create a new supplier, then define the name and number. The newly created supplier is immediately available in the Pliant app and can be assigned to transactions.

Deactivate, reactivate or delete suppliers

To deactivate suppliers that are no longer needed, select them in the list of all suppliers and click Deactivate in the Edit supplier window. Then confirm the action in the following dialog box. This ensures that all transactions to which this supplier was assigned will continue to be displayed correctly. However, it is no longer possible for users to assign transactions to this supplier. Deactivated suppliers are hidden from the list of all suppliers, but can be displayed using the corresponding filter option.

Deactivated suppliers can be reactivated at any time. To do this, filter using the option Inactive only and click on the deactivated supplier. Confirm the action in the dialog box by clicking on Activate.

Deactivated suppliers can be deleted if they are no longer linked to any transaction.

Automation

Once created, suppliers can be assigned to individual transactions (see: Preparing transactions for export) manually. To save time the Pliant platform supports this task by automatically suggesting the correct supplier based on previous assignments.

This is indicated by a blue ribbon in the top right corner of the supplier data field:
